Community
Affiliating your fencing club with Fencing Victoria gives your members the opportunity to participate in our events as representatives of your club and provides them with a competition pathway that can take them all the way to World Championships.
Insurance
Affiliated clubs receive ‘Whole of Sport’ Insurance valued at over $6000. Registering your club with Fencing Victoria allows you to forgo the expense and administrative burden of buying your own insurance while providing top tier coverage at a discount.
Requirements
Constitutional Requirements
10.8 An “Affiliated Club” is a body that:
(a) is based in Victoria;
(b) is actively involved in the sport of fencing;
(c) consists of at least 6 members;
(d) is a properly constituted company, corporation or other body (whether or not the body is incorporated);
(e) has a constitution or other governing document in a form acceptable to the Committee; and
(f) satisfies all statutory and regulatory requirements, and all obligations of its constitution or other governing document.
Insurance requirements
- All club members/participants and administrators to be registered members of Fencing Victoria (beginners course participants are exempt)
- All coaches to have valid coaching accreditation (including valid First Aid Certificate)
- Note: At least one person at every club event/training session must have a valid first aid certificate for any incidents to be covered by insurance
Community Engagement Requirements
- One club member/administrator to be a delegate for communications with Fencing Victoria
- At least one club member to attend the Fencing Victoria AGM
Sports Integrity Requirements
- One club member is delegated as a Member Protection Integrity Officer and that person has completed the online portion of the MPIO course
- Must be compliant with the Working With Children’s Act 2005 and its amendments

Club Incentives & Tiers
Club Incentives
We wish to recognise the efforts put in by clubs that stay up to date with their administration and contribute volunteers and officials to keep our community thriving. We incentivise these efforts by offering discounted affiliation fees and a number of free course enrolments for the coming year.
Club Tiers
Clubs are divided into tiers as a part of the yearly re-affiliation process. To be eligible to receive the rewards of Tier 1 and 2, clubs must fill out the incentives points calculator and include it in their re-affiliation documentation. All newly affiliating clubs are base tier for their first year.

** If your club’s nominated member/s can’t attend the first aid course run by Fencing Victoria, we will pay for a course attended elsewhere upon presentation of the first aid certificate and a receipt
Affiliation Process
1. Gather your documents
To verify that your club meets the criteria for an affiliated club, Fencing Victoria requires a copy of:
- Club Constitution
- A tax return (if applicable to your club)
- A completed and signed copy of the Fencing Victoria Affiliation questionnaire (can be downloaded from our policies page)
- A completed incentives points calculator representing your clubs community engagement in the previous calendar year
- For university clubs only: a letter from your university endorsing the club and proof that your club activities are covered by the university’s insurance policy
2. Submit your documentation
Email your documentation to operations@fencingvictoria.org
For re-affiliating clubs, we require your documentation sent in by February 1 of each year for you to remain on the certificate of currency. Any later than that and an administration fee will be added to your affiliation fee, and the club will miss out on any incentives for its tier.
For university clubs, we require the documentation sent in within a fortnight of the semester 1 start date for your club to receive its tier benefits.
3. Ensure your club membership register as members of FV
For your members to be covered by our insurance, they need them to be members of Fencing Victoria within 1 month of purchasing club membership.
We will periodically send out requests for a list of your club’s members so we can verify that they are all up-to-date members of FV. We require these lists of members within a fortnight of requesting them. Delays will impact your club’s ability to access tier incentives. Failure to comply entirely will result in us deregistering the club and prohibiting members from participating in state and national competitions.
4. Get Involved!
Once your affiliation is complete your members can enter competitions, represent Victoria at national events and engage in fencing all over Australia.
The more of your members participate in our events as referees, technical directors, canteen servers, and organisers, the more we can support your club and your coaches in meeting your admin requirements.
